Privacy policy

What this website collects, what we do with it, and how to reach us about it. The short version: we collect what you choose to give us — an email signup, a chat message, an email, a purchase — plus the standard site analytics nearly every website runs. We do not sell any of it, and we do not share it for anyone else’s marketing.

This website is for healthcare practices, not patients.

Please do not put patient information — a name, a review, a medical detail, anything that could identify a patient — into a form, the chat, or an email to us. Work that touches patient information happens only under a signed agreement, never through this website. Section 7 explains.

What we collect


1What you give us directly.

The Founding Access List. When you sign up, we collect your email address. It is used to send you the emails the form describes: the free checklist, launch news, founding pricing and occasional updates worth reading. It is used for nothing else. We do not blast, and we do not pass the list to anyone.

The Free Profile Check. When you request a check, we collect your name, your role, your work email, and your practice’s name, type, location and public Google Business Profile link. We use them to prepare and send your written report, and for nothing else unless you also choose to join the Founding Access List.

Email. When you email us, we keep your address and what you wrote, the way any business keeps its correspondence.

The chat assistant. Blip, the virtual assistant on this site, keeps a transcript of the conversation so we can read what was asked and answered. If you are interested in the Founding Access List, Blip may ask for your name and email — sharing them is your choice, and the chat answers your questions either way.

2What is collected automatically.

Like nearly every website, this one uses Google Analytics, which sets cookies and records visits — pages viewed, roughly where visitors come from, what kind of device they use. What we see are counts and patterns, not a profile of you by name. If you prefer not to be counted, a browser’s tracking protection or Google’s own opt-out tool will do it, and the site works the same without it.

Our hosting and security providers also keep standard server logs — IP addresses and requests — which is how websites stay running and keep out abuse.

3Payment information.

When you buy something from us, payment is handled by Stripe. Your card number goes to Stripe, not to us — we never see it and cannot store it. What we receive is your name, your email, what you bought, and the billing details needed for your receipt and our records. We use your email to send your delivery email and download link. If you leave the box ticked at checkout (“Keep me updated with news and personalized offers”), we also add you to our email list. If you untick it, you receive only the emails about your purchase.

What we do with it


4How your information is used.

To answer you, to deliver what you bought, to send the emails you signed up for, to send receipts and account messages, and to see how the site is used in aggregate. That is the list. We do not use your information for anything you did not hand it to us for.

5What we do not do.

We do not sell personal information, and we do not share it so someone else can market to you.

We do advertise our own services. To do that, this site may use advertising cookies or pixels from the platforms we advertise on — the code that lets a platform show our ad to people who have already visited this site. That is the only advertising use: our ads, for our services, and nothing handed to anyone else’s marketing. Browser tracking protection blocks these the same way it blocks the analytics in section 2, and the site works the same without them.

If our practices ever change beyond what this page describes, this page changes first — with a new version number and effective date at the top — before the change happens.

6Who processes data for us.

A handful of companies do specific jobs for this website, and each receives only what its job requires: SiteGround hosts the site. Cloudflare delivers and secures it. Google provides the analytics above and runs our email. MailerLite holds the Founding Access List and sends those emails. Chatbase operates the chat assistant and stores its transcripts. Stripe processes payments. Zapier connects Stripe to MailerLite so your delivery email sends. Meta (for Facebook and Instagram) and LinkedIn receive the visit data described in section 5 through their advertising pixels, so our ads can reach people who have already visited this site. Each operates under its own published privacy terms.

Patient information


7This website is not the place for it.

STAT Studio provides marketing services to healthcare practices. This website is where practices learn about that work — it is not a patient portal, and its forms, chat, and email are not built to receive protected health information. Please do not send patient information through any of them.

Work that involves patient information happens only for clients, under a signed Client Services Agreement that includes a Business Associate Agreement — one signature covers both. Our Compliance Standards describe how that work is handled. If you send patient details through the website by mistake, tell us and we will delete what you sent.

Your choices


8Leaving the email list.

Every email we send has an unsubscribe link. Click it and you are off the list. If you would rather just tell us, email [email protected] and we take you off ourselves.

9Ask, correct, or delete.

Email [email protected] and we will tell you what we hold about you, correct it, or delete it — whoever you are and wherever you live. The one exception: records of a purchase that tax and accounting rules require us to keep stay until those rules let them go.

10How long we keep things.

Your list signup stays until you unsubscribe. Correspondence and chat transcripts are kept as a record of what was said. Purchase records are kept as long as tax and accounting rules require. Free Profile Check requests and the written reports we send are kept as a record of what was sent. Nothing is kept for the sake of keeping it, and section 9 is how you clear any of it early.

11How it is protected.

Connections to this site are encrypted. Access to the accounts that hold your information is limited to the people who need it to do the work described above. Card numbers never enter our systems at all — they stay inside Stripe’s. If a breach ever affects your information, we notify you as the law requires.

12Children.

This website is directed at healthcare practices and the people who run them. It is not directed at children, and we do not knowingly collect information from anyone under 13. If you believe a child has given us information, email us and we will delete it.

13When this policy changes.

Changes are posted on this page, with a new version number and effective date in the strip at the top. If a change affects information you have already given us, we tell the email list before it takes effect rather than letting you find it here.

Email us. We answer in writing, and there is nothing to schedule. The same address handles every request in this policy — questions, corrections, and deletions alike.
