Why the obvious reply is usually the unsafe one
“So glad we could help with your knee!” reads as warm and ordinary. It also confirms, publicly and permanently, that the person was your patient and what you treated. The patient is free to post their own health information. You are not free to confirm it.
The person answering reviews at the end of a long day should not have to work that out one sentence at a time. With the library open, they do not write. They find the review type, choose one of three replies, and paste it.
What is in the library

Nineteen negative scenarios and ten positive ones, with three distinct replies for each. Option A has bracketed parts you replace with your own details, so it sounds like your practice. Options B and C are ready to paste as written. Rotating between them keeps the same text from appearing on your profile again and again.

Positive reviews are where a careful practice is most likely to slip. A warm reply that echoes a detail back — the procedure, the machine, the nerves — confirms it.

Who reviewed it
The legal language has been reviewed and approved by a healthcare compliance attorney, and the tone and clinical realism have been reviewed by practicing licensed clinicians — two separate reviews, completed before anything is offered for sale, and the clinician review is never presented as compliance authority.

Questions practices ask before buying
Are these HIPAA-compliant review responses?
HIPAA does not certify or approve wording, so no template can carry a HIPAA stamp, and a vendor who says otherwise is describing something that does not exist.
What we can tell you is how these were written. Every reply answers the reviewer without confirming that they were a patient, mentions nothing clinical, and still makes sense if the person had never set foot in your practice. The legal language has been reviewed and approved by a healthcare compliance attorney. What you publish, and how it fits your own compliance program, remains your practice’s decision.
Will the templates work for our specialty?
They are written to work across specialties, because the rule they are built on does not change with specialty: a reply must make sense even if the person had never set foot in your practice. The scenarios cover what any practice meets on a Google profile — the angry review, the warm one, the former employee, the one naming somebody else.
Will template replies sound canned?
Three things work against that. Option A is customized with your own details. There are three replies for every scenario, written with different openings, so you can rotate them. And the replies are short — two to four sentences — because a long reply reads as defensive however carefully it is worded.
Can we edit the replies?
Make them sound like your practice by choosing between the options and filling in the bracketed parts. Beyond that, we do not recommend or support other edits, and the attorney and clinician reviews apply to the replies as written.
Can everyone at our practice use it?
Yes, at the licensed location. Print it, circulate it to the people who work there, and use the replies on that location’s own profiles and review platforms.
Each license covers one practice at one physical location, meaning one street address. It does not allow sharing with other facilities or locations, even ones that operate under the same name or the same ownership, and it does not allow using the materials to provide a service to another practice. Every additional location needs its own license.
What happens when something changes?
We publish a new edition whenever something material changes, and we email past buyers when we do. If you bought within the 90 days before a new edition is released, it is yours at no cost. After that, it is offered to you at a discount.
Is any of this legal advice?

More than one location?
A purchase licenses one practice at one physical location. Each additional location needs its own license, even where locations share ownership, a tax ID, a website, or a name.
