1Your reply audit.

We read the 25 most recent replies published on your profile, counted back from the newest by the date Google shows on each review. Each reply gets its own entry: which review it answers, what the reply gives away in plain language, why, and the scenario number in The Reply Library that fits. A reply with nothing to fix is listed as clear. Where the same issue repeats, the report says so, because a pattern is easier to fix than twenty-five separate lines.

2The Review Response Policy template.

Twelve sections and four fill-in tables, delivered as a Word file you complete: who may respond, what a reply must never do, when to publish nothing, escalation, editing a published reply, records, and what a marketing vendor or agency is bound to. You fill in the decisions only your practice can make, have your counsel or compliance officer read it, and adopt it as your own.

3The Review Tracking Log.

A spreadsheet with a log of every review you reply to or report, a log of changes to your profile, and a monthly summary that fills itself in from the two. The reporting categories sit in a list you can update when Google renames them.

What the audit does not do


It does not report anything to Google. The audit reads your replies. It does not flag reviews or ask Google to remove anything, and the report says so plainly.

It does not rewrite your replies. Each finding names the scenario in The Reply Library that fits, so the fix is a reply you already have.

It never needs anything about your patients. We do not ask who they are or what care they received, and we ask you not to send it.

What we need from you after you buy. Three things, by reply to your delivery email: your practice name exactly as it appears on Google, the link to your Google Business Profile, and your practice logo for the header of your branded tool — a PNG or SVG file, ideally on a transparent background. If you do not have a logo file, tell us, and the header will carry your practice name alone.

Your audit arrives as a written report within ten business days of our receiving your practice name and profile link, and your branded tool arrives with it. We do not need access to your profile. Your replies are public, and we read them the way a patient would.

Who reviewed it


The Reply Library and The Review Field Guide, both included, have had two separate reviews: the legal language has been reviewed and approved by a healthcare compliance attorney, and the tone and clinical realism have been reviewed by practicing licensed clinicians. The clinician review is never presented as compliance authority.

Questions practices ask before buying


Will a review response policy make our practice HIPAA compliant?

No template can do that, and a vendor who says otherwise is describing something that does not exist. The Privacy Rule requires a covered entity to maintain policies and procedures for how protected health information is used and disclosed. A practice can have those for records and the front desk and still have nothing for the review page.

The template is a starting document for that gap. Completing it, having your counsel or compliance officer review it, adopting it and training your staff on it remain your practice’s decisions.

Is the policy ready to use as it is?

No, and it says so on its first page. Every bracketed field is a decision only your practice can make: who responds, who they escalate to, how fast, and how often the policy is reviewed. Once adopted, it is your practice’s policy.

Do you need access to our Google Business Profile?

No. Your replies are public, and we read them the way a patient would. We need only your practice name as it appears on Google, the link to your profile, and your logo for the branded tool.

What if our profile has fewer than 25 replies?

All of them are read. There is no date range: the audit covers the newest 25, whenever they were written.

Will the audit get reviews removed?

No. The audit reads your replies. It does not report or flag anything, and removal is always Google’s decision. The Review Field Guide, included, covers what is worth reporting and how.

Can everyone at our practice use it?

Yes, at the licensed location. Print it, circulate it to the people who work there, and use the replies on that location’s own profiles and review platforms.

Each license covers one practice at one physical location, meaning one street address. It does not allow sharing with other facilities or locations, even ones that operate under the same name or the same ownership, and it does not allow using the materials to provide a service to another practice. Every additional location needs its own license.

What happens when something changes?

We publish a new edition whenever something material changes, and we email past buyers when we do. If you bought within the 90 days before a new edition is released, it is yours at no cost. After that, it is offered to you at a discount.

Is any of this legal advice?

No. STAT Studio is not a law firm, and nothing we publish is legal advice. Our materials are educational, and they do not replace your own compliance program or your own counsel.
