How it works
1You approve a response library.
Before anything is published, we prepare a library of replies for your practice and you approve it in writing. Every reply is written to answer the person without confirming anything about them — no conditions, no visits, no billing, nothing a reply is not allowed to say.
2We publish only from it.
Replies go out under your name from the library you approved — nothing improvised, ever. Reviews where replying would be the mistake are identified and left alone, with the reason noted in your report. And anything that needs your eyes — a threat of harm or legal action, a clinical allegation, a mention of a regulator — is never answered publicly and goes straight to your designated contact.
3You get it in writing, every month.
A written report lists every reply published and when, every post that went up, and anything reported or escalated. No recurring meeting — the report replaces it. You approve work by email, on your schedule.

The Profile Desk
Everything in The Review Desk, plus:

- Profile content management — description, categories, services, attributes, hours, where your Schedule A includes it
- Suggested edits monitored and corrected — Google and the public can both change what your listing says. Yours is checked, and incorrect changes are submitted for correction
- Holiday hours confirmed, so your listing never shows “Hours might differ” to someone deciding whether to drive over
- Duplicate listing monitoring
- Photo management — the photos your practice supplies uploaded to your profile’s gallery and kept current
- Genuine policy violations reported to Google, up to five a month, reported selectively rather than in bulk
- The full performance report — month-over-month change, the search terms that surfaced your listing, views split by Search and Maps, and what was caught and corrected

The Complete Desk
Everything in The Profile Desk, plus:

- A post every week — sourced, composed, and published, with every post approved by you in advance
- Up to ten reviews reported or escalated a month
- Reply turnaround inside one business day
- Unlimited profile content updates
- A quarterly competitor snapshot — you may name one to three competitors you want followed; otherwise we pick the nearest comparable profiles. The snapshot is observational only — it never includes reporting or flagging a competitor’s reviews
- An annual profile health audit
Not included: nothing. This is the whole desk.
What the lines above actually mean
“Suggested edits checked” — checked against what?
Google and the public can both change what your listing says. Yours is checked, and incorrect changes are submitted for correction. That is the whole mechanism — a wrong phone number, a changed category, or hours you never set do not sit there unnoticed.
“Reported to Google” — does that get reviews removed?
Sometimes. Google decides, not us, and most reviews are not removable. Google permits one report and one appeal per review, so choosing the right reporting category the first time is a matter of judgment — that judgment is what you are paying for, not a guaranteed outcome. Anyone promising removals is promising something Google has not given them.
“Multiple times a week” — why not real-time?
Because we will not promise what we do not do. Monitoring runs multiple times a week on business days. It is not continuous, real-time, or after-hours coverage — and your profile stays yours, so you can reply to anything yourself, at any hour, whenever you want to.
The monthly report — why does it never quote your reviews?
The report lists every review received — reviewer name as Google displays it, star rating, and the date each was replied to — along with reviews deliberately not answered and why, anything reported or escalated, and how your overall rating moved. It deliberately carries no review text: reviews sometimes contain patient-identifying detail, and the report circulates inside your practice. Reviewer name plus star rating identifies the row without republishing anything.
One more thing said plainly: these numbers are not Google Analytics. They come from your Business Profile’s own performance data, which is all managing the profile requires — no website login, no Google Analytics, no Search Console.
What gets posted to your profile
Posting is The Complete Desk’s work: one post a week, and you see every post before it publishes. The coming month’s posts are delivered by the 20th of the month before, you have three business days to object or request changes, and you can pull any post at any time — down within one business day.
Updates — what is new at the practice
A new provider, new equipment, expanded hours, a service you want patients to know about. The bread and butter of a maintained profile — and the reason a patient landing on it can tell somebody is home.
Events — what is coming up
Open houses, health fairs, screening days, community sponsorships. You tell us what is on the calendar during onboarding and any time after; we plan posts around it.
What never gets posted
Pricing and insurance participation — not in a post, not in a reply, not in a profile field. Both change, and a figure that was right last quarter reads as current to the patient looking at it today. Those questions get routed to your office, where the answer is current. And nothing about any patient, ever.
The first three months
The initial term is three months. After that the subscription continues month to month, and you can cancel any time by email — no call, no form, no retention conversation.
The term is not there to recover setup costs. The build is already paid for by the onboarding fee. The term is there because this work is cumulative and because you cannot judge it early — replies accumulate as reviews arrive, and the first monthly report is a baseline rather than a result. It takes the second and the third before there is a trend on the page to read at all.
Three months is the shortest honest answer to “how long before I can tell whether this is working”. That is why the term is three months and not six or twelve, and why it ends there. We would rather tell you now than have you find it in a contract.
Billing is simple on purpose: your service starts the business day after onboarding completes, your exact start date is confirmed to you in writing first, and your subscription renews on the same day of each month. The full detail is on the subscription terms page.
More than one location?
A subscription covers one practice and one Google Business Profile. Additional locations need their own subscription — priced per profile, per physical location, stated the same way in the agreement you sign.
Agencies and multi-location groups: our guides and templates are licensed for exactly this, as one bundle, in published bands — from $1,497 for up to five locations to $9,997 for 51 or more. One location means one Google Business Profile, and the product terms state the scope plainly. Email us and we will quote it.
